Répit le Zéphyr’s Policy on the protection of personal information

Protecting privacy and confidentiality is a major preoccupation of the Canadian people. Répit le Zéphyr has implemented specific measures to protect the personal information of employees, volunteers, members, clients, donors, partners, and other stakeholders. Répit le Zéphyr understands the importance of protecting all personal information that people place in their care.
Répit le Zéphyr collects and uses such personal information for the purpose of registration process for its services, projects and activities, including the annual rides campaign for Operation Red nose. Anyone who entrusts Répit le Zéphyr with this type of information may rest assured it is always used or treated in complete respect of the consent that was given. Répit le Zéphyr confidentiality policies have been designed to that end. Consent

By using our services, you consent to the collection, use and disclosure of your personal and confidential information in accordance with this policy. The form of consent may vary depending on the context or the service requested.

This personal information is collected under the provision that all concerned parties consent to its collection at the time it was collected, and to its future use. This consent may be explicit or implicit, and may be supplied by the person themself or their authorized representative. Explicit consent may be given verbally, electronically, or in writing. Implicit consent may be reasonably inferred from the person’s actions or absence of action. Consent must be received before any personal information is forwarded to any third party.

We collect personal information directly from you when you contact us by filling out a service request form or the Registration Form to become a volunteer in the yearly Operation Red Nose’s rides campaign. The forms we use include a section pertaining to consent, and allows us to collect, use, and communicate personal information about you under certain circumstances. It is important to read this section before signing the form.

Personal information concerning a minor or a disabled person

Personal information concerning a minor under the age of 14 or a disabled person will not be collected from him or her without the consent of the person with parental authority or the guardian.

Cookies Files

Répit le Zéphyr and Operation Red nose Websites and mobile applications uses “cookies” to identify your browser, activate functions and track Web site performance. Cookies are small data files stored on your computer or mobile device when you visit a website or application. They are used to enhance your user experience by recording certain data. By using Répit le Zéphyr’s Web services and mobile applications, you consent to this use.
The Répit le Zéphyr Web site uses persistent cookies. Specifically, cookies are used :

• To maintain and close a visitor’s session on the site (such as saving data between two steps of a process, terminating the session after a period of inactivity);
• To activate analysis tools on the Web (such as Google Analytics, see below for explanations).

Non-personal information

At no time do we transmit personal information to Google Analytics, in accordance with the Google Analytics terms of use. Please note that Google stores data on servers located in the United States and that its activities are subject to U.S. law. We use the data collected to ensure the quality of our website and to serve you better. Anyone wishing to block the collection of data by Google Analytics should use the Google Analytics deactivation browser add-on.

Secure computing environments

Cloud infrastructure and equipment are hosted in secure environments. We ensure that security measures equivalent or superior to those required by this Policy are in place.
Access to Répit le Zéphyr’s Web services and mobile applications is via a transmission channel secured by an SSL certificate (HTTPS).

Scope of Data Collection

Collection of personal information is limited to what is required and useful for our services, programmes, donations, our yearly rides campaign, and our fundraisers.

We may disclose your personal information to any of our employees, professional advisers, suppliers, or subcontractors or affiliates to the extent reasonably necessary to provide the services requested and for the purposes set out in this policy.

If you refuse us access to such information or to grant us your consent concerning such access, it could prevent us from moving the process forward. Répit le Zéphyr will never engage in abusive or intrusive information search that would not be required for security purposes within the scope of its activities.

Limiting use, disclosure and retention of data

Personal information will not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required.

Your personal information will not be disclosed to third parties other than in accordance with this Policy, except as required or permitted by law, or as ordered by a court of competent jurisdiction.

We do not sell your personal information to third parties.

If you submit personal information to any of our websites or mobile applications for the purpose of publication, we will publish it and may use such information in accordance with the permissions you grant us.

Accuracy

Personal information will be as complete, accurate, and up-to-date as possible. We recommend that volunteers, members, clients, donors, and all other stakeholders regularly verify, correct, and update their personal information.

Security Measures

Personal information collected by Répit le Zéphyr will be treated with all respect for confidentiality. Staff members and volunteers for Répit le Zéphyr will only be authorized to access such personal information on the basis of strict necessity, and in conformity with the reason for its collection.
Every essential electronic and physical security measure will be put in place to ensure the safety of personal information. Access to such will be strictly limited to people whose responsibilities require it. All information pertaining to anonymous donors will benefit from special protection. The confidentiality of donor and volunteer information will continue to apply after relations have been terminated.

Regardless of what precedes, and despite all our good will and extant measures, no transmission of data on our Website or on the Internet in general is completely guaranteed or safe. Consequently, we may not affirm, justify, or guarantee that your personal information will be protected against loss, ill-use, or in-transit modification, and we therefore cannot accept any liability pertaining to personal information that you would transmit which third parties could use or misuse, should such personal information be intercepted while in transit via the Internet, or should we fall victim to a hacking attack.

Possession and Access

You may access all personal information that is yours and is located in your volunteer file by submitting a written request to the Répit le Zéphyr corporation.

User rights, request for access, withdrawal or correction

You have the right to access your personal information held in your file. Please use the contact information at the end of this policy if you wish to exercise this right, or any of the rights listed below.

Subject to any regulatory or contractual restrictions, you may consult, correct or destroy the personal information we hold about you.

We will provide you with such information within a maximum of 30 days from the date of receipt of your written request. There may be a charge for processing your request.

If you withdraw your consent, we may not be able to provide you with certain services. We will inform you if this is the case at the time you withdraw your consent.

Confidentiality

Donors who ask that their name or the amount of their donation not be made public will remain anonymous.

Transparency

Any and all Répit le Zéphyr stakeholders will have access to their information upon request.
